BOARD OF DIRECTORS MEETING MINUTES
June 10, 2019

Call To Order: The meeting was called to order at 6:39 pm.
Minutes: The Minutes from the April 8, 2019 Board of Directors Meeting were reviewed, amended, and approved as amended. The Minutes from the May 4, 2019 Spring League Meeting were reviewed, amended, and approved for publication pending approval by the Members.
Finance: Pat reported the income and expenses for April and May 2019, which included final transactions for the 2018/2019 season. Three unpaid invoices will be collected with League Dues and Championship Fees for the 2019/2020 season. Invoices for the coming season will be issued in August.
Championships: Carl reported that he is still hoping to receive data from Championship hosts that will enable the Board to determine if any adjustments to Championship fees are warranted. Elliot reiterated that the goal is to keep fees as low as possible while ensuring that there are sufficient financial incentives for Y's to host Championships. The Board also evaluated options to adjust Championships in an effort to keep sessions to less than 4 hours. Carl and Bert pointed out that almost all meet sessions are scheduled to run within the time standard, though the number of lanes in the pool can sometimes result in longer time lines.
The Board will continue to evaluate this issue, and will seek input from clubs before making any changes. Carl also explained the procedure for circulating and completing the meet invitation, including review and approval by MidAtlantic. Notably the template must be updated each year to include information mandated by the National Y, such as safe sport requirements. Carl will continue to work closely with meet hosts to complete the invitations in a timely manner. The Board will remind clubs of the deadline to submit bids to host Championships and the Distance Meets in August.
Officials: Bert received a number of requests to schedule League Clinics and Officials Classes. The Board noted that two volunteers who formerly offered League Clinics and Officials Classes were no longer able to do so. While the Board is able to designate volunteers to provide League Clinics, Officials' trainers must be certified. The League will continue to post dates for League Clinics and Officials Classes on the website.
Administration: Tom reiterated that times in the Penn-Del SWYMS Database are retained until after the first meet in the following season. He also explained that Team Contacts are deleted if a registered coach or team representative does not access the website for 2 years. Tom reported that he has received requests from some teams to remove names from contacts, and indicated that he is exploring ways to enhance website utility by phone users.
