BOARD OF DIRECTORS MEETING MINUTES
October 10, 2016

The Meeting was called to order at 6:34 pm.
Finance: Pat reported that all Y's have paid League dues and Championship fees, and reviewed the status of funds on hand and transactions in progress. Thus far, Meet Manager reimbursements have been issued to 3 Y's, and Pat is following up with other members for payment instructions. The League purchased two printers, and reviewed and unanimously approved a proposal to purchase a Meet Manager license so that the League can run the Hartley and Divisional Championship meets.
Championships: Carl reported that all Divisional Championship hosts have verified meet dates and locations. The Board set a schedule for updating and circulating the Meet Invitation template. Tom will take charge of drafting the updated template. The Board confirmed that the League will not receive a splash fee reducing the cost for swimmers to participate in Divisional Championship meets. After the teams submit rosters, Carl and Bert will work with the Hosts to organize the sessions at each meet. The Board discussed the need to clarify League resources which can be made available to Meet Hosts. A revised policy will be adopted and explained before next season.
Officials: Fred indicated that a number of Referee clinics have been completed and confirmed that a list of certified Referees will be posted on the League website. Bert reported that Administrative Official Clinics are proceeding and a list of attendees will also be posted on the website. Jenn indicated that a few Meet Manger Operator clinics have been completed, and attendees will be listed as well. Initial feed-back from the Meet Manager Clinics was evaluated and it was agreed that in future, the content of the Clinic will be modified to reflect different experience levels of the trainees.
Commissioners: Jenn reported that all meet templates have been completed and posted on the website. Rick noted that teams are cooperating with procedures to change scheduled meet dates and to clarify warm up times. The Board reviewed and will publish procedures for TeamUnify clubs to upload rosters and to convert TeamUnify line ups for meets.
Awards: Bert reported that awards have been ordered and delivery is anticipated in a timely fashion. The League supplier has thus far not sought to increase unit pricing.
Administrative Issues: Tom reported that many teams have updated contacts on the website. However it is necessary to remind some Y's that a head coach must be designated for each team. Bert completed and updated League forms, which are now available on the website. Tom explained the need for a consolidated procedure to circulate notice of League clinics and Y officials' training classes. The Board agreed to issue a consolidated list once per week through the website.
